Reports to: VP Finance

Job Overview:

  • Oversee the day-to-day office administrative duties, research information, and assist in developing more digital ways of working and onboarding new team members
  • Understand business priorities and identify process improvements to create efficiencies and support the growth efforts of the Customer Service, Finance and Sales teams to ensure high standards of service and quality are maintained
  • Excellent multi-tasker with a “can-do” attitude, strong communication skills and the ability to work collaboratively
  • Actively engage all teams foster cohesiveness and collaboration
  • High level of integrity and discretion in handling confidential information, and professionalism in dealing with all stakeholders, inside and outside the company
  • Strong Microsoft Office skills including Outlook, Excel, Word and PowerPoint

Duties and Responsibilities:

  • Responsible for managing day to day office services by ensuring office operations and procedures are organized, correspondences are controlled, digital filing systems are designed and implemented as well as assisting with basic bookkeeping duties, including managing accounts payable and accounts receivable
  • Partner with Human Resources to set up and maintain office policies
  • Responsible for onboarding new team members ensuring IT and system access aligns to role requirements and company policy
  • Recognizes the need and is comfortable reprioritizing tasks as appropriate if business initiatives change and can act independently to execute revised plans
  • Assist the team with tracking and driving completion of key deliverables and follow-up on outstanding items
  • Assist in planning and organizing team space and facilitating moves
  • Greet and provide support for visitors to corporate offices and customers over the phone
  • Be the glue that holds the teams together through organizing and hosting company activities
